GJAPCTL and ICGORODM "Syncs"

The purpose of this document is to provide the steps for syncing users with their courses. This sync is run within Banner and pushes events (courses, students, and instructors) into Canvas and ACES > My Courses. 

GJAPCTL and ICGORODM screens require special permissions within Banner.  Please contact your if you require this access through the Banner Access process.

Running GJAPCTL

1. Log in to the Production Banner Database.

2. In the Banner search box, type GJAPCTL and select the Process Submission Controls form.

3. In the Process box, type ICGORODM and click on the Go button.

To sync students and faculty with Banner IDs

You can enter a user's SPRIDEN ID (i.e., Banner ID) to update the enrollments for an individual within Canvas and ACES.

  1. Under the VALUES column, enter the following information:
    • Student or faculty member’s Banner ID for “05 SPRIDEN ID”
    • Banner term for "09 TERM"
  2. Under SUBMISSION, select "Save Parameter Set" and then click Save in the bottom right.

NOTE: "TERM" values must be formatted using the 6-digit Banner term. For example, terms for the 2023/2024 calendar would be:

  • Academic: 202410 (Fall 2023), 202420 (Spring 2024), and 202430 (Summer 2024)
  • Continuing Education (CE): 820241 (CE Fall 2023), 820242 (CE Winter 2023/2024), 820243 (CE Spring 2024), and 82024 (CE Summer 2024)
  • Community (COM): 820245 (COM Fall 2023), 820246 (COM Spring 2024), and 820247 (COM Summer 2024)

Use the following formula to quickly identify the Academic term in Banner:

  1. 4 digit year (determined by the year Spring/Summer terms take place)
  2. Semester code:
    • 10 = Fall  
    • 20 = Spring  
    • 30 = Summer  

Using this formula, the Fall 2024 semester would be 202410 in Banner.  

To sync courses by CRN

You can use the course CRN sync for updating the course enrollments and missing courses within ACES and Canvas.

  1. Following the same procedure to open GJAPCTL and ICGORODM, enter the following into the VALUES column:
  2. Under SUBMISSION, select "Save Parameter Set" and then click Save in the bottom right.

You should receive two green messages once an ICGORODM sync processes.

To review the log files and messages, click on RELATED [1] and click on Review Output [GJIREVO] [2].

The .lis file will show the parameters used in the ICGORODM process, and the .log file will show whether the ICGORODM process succeeded or failed.

If you see an error or failed message, check the parameters used and rerun the process.

Information about "syncs" and further troubleshooting

Syncs can take anywhere from a few seconds to several hours depending on system traffic.

Additional troubleshooting may be required if:

  • The course still doesn't appear within Canvas. Check Banner page SSASECT to ensure the "IC" is listed for the Integration Partner. 
  • The faculty member or student isn't listed within the "People" tab of the Canvas course, or they receive an error when connecting to Canvas from ACES.  
  • The faculty member doesn't show as the instructor within Canvas, and the sync has been run and processed. 

These tickets can be escalated to the DST Instructional Technology team.
